Privacy & Terms

One World Lingo (“we”, “us”, “our”) provides speech transcription and translation services. We design for data minimisation, clear choices, and strong contractual safeguards. This page combines our Privacy Notice and a concise Terms & Acceptable Use summary.

Privacy Notice

1) Controller & Contact

Data Controller: EcoNexus Systems OÜ (Estonia, EU)
Contact: admin@oneworldlingo.com

2) What we collect

  • Account data — email and authentication identifiers (for sign-in and security).
  • Billing data — handled by our payments processor; we never store card numbers.
  • Content you submit — audio, documents, and text needed to perform transcription and/or translation.
  • Operational metadata — timestamps, file sizes, job IDs, language selections, and error codes, used for support, reliability, and accounting.
  • Cookies — only what’s necessary for sign-in/session and checkout. We do not run advertising trackers.

3) Purposes & legal bases

  • Provide the service (contract): process your content and operate your account.
  • Process payments (contract/legal duty): handle subscriptions and invoicing.
  • Security & abuse prevention (legitimate interests): protect the service and investigate incidents.
  • Compliance (legal duty): respond to lawful requests where applicable.

4) Data residency & transfers

You can choose a processing mode at purchase:

  • EU-only (Strict) — content processing is pinned to EU infrastructure under a strict data-boundary policy. If the selected EU region is unavailable, jobs may queue until service is restored. We do not use non-EU infrastructure for content processing in this mode.
  • Global — content processing remains within EU infrastructure, but we may use additional EU regions for higher availability (multi-region reliability / failover). This mode is designed for reliability and operational flexibility while maintaining EU processing for content.

We work with a small set of infrastructure and service providers to deliver the product (e.g., authentication, storage, payments, app delivery, and language technology). A current list of sub-processors and our Data Processing Addendum (DPA) are available on request. Where any personal data is processed outside the EEA/UK by a vendor (for example, billing or support tooling), we rely on recognised transfer mechanisms (such as SCCs) and equivalent safeguards as appropriate. All data is encrypted in transit and at rest.

5) Retention

  • Account & billing — kept while your account is active and as required by law for records.
  • Your files — stored privately for processing and download; you may request deletion at any time via support. We do not use your content to train public models.
  • Operational logs/metadata — retained for a limited period (typically up to 30 days) for support and security.
  • Self-hosting (BYOK) — if you self-host, storage and retention are under your control.

6) Security

  • Encryption in transit and at rest.
  • Least-privilege access and access logging.
  • Documented incident response; vulnerabilities remediated with priority.

7) No ads. No resale.

We do not run advertising, we do not sell personal data, and we do not build marketing profiles from your content.

8) Your rights

Under GDPR/UK-GDPR you may have rights to access, rectify, erase, restrict or port your personal data, and to object to certain processing. You may lodge a complaint with your local supervisory authority. To exercise rights or request deletion of uploaded content, email admin@oneworldlingo.com.

9) Changes

We may update this page as the service evolves. Material changes will be posted here and, where appropriate, notified in-app or by email.

Terms & Acceptable Use (Summary)

By creating an account or using the service you agree to these summary terms. If you disagree, please do not use the service.

A) Acceptable Use

  • No illegal, harmful, or abusive behaviour.
  • No harassment, hate, exploitation, or infringement of others’ rights.
  • Upload only content you are legally entitled to process.
  • No attempts to disrupt, probe, or bypass security controls.
  • No automated scraping of personal data without a lawful basis.

B) Service scope

  • SaaS — your content is processed by trusted infrastructure and language technologies. Routing and engine selection are managed by us to optimise quality and compliance; specific implementations may change over time.
  • Self-hosting (BYOK) — when available, you operate the stack with your own keys and storage; you are responsible for your compliance in that environment.

C) Disclaimers & liability

  • We provide the service with reasonable care but cannot guarantee error-free output for all languages, accents, or formats.
  • To the maximum extent permitted by law, we exclude indirect or consequential losses. Mandatory consumer protections remain unaffected.

D) Governing law

EU data-protection law applies. Where permitted, disputes are brought in the courts of our EU establishment, without limiting any mandatory local consumer rights.

A detailed, lawyer-friendly version of our DPA and terms is available on request.  Contact admin@oneworldlingo.com.
