One World Lingo (“we”, “us”, “our”) provides speech transcription and translation services. We design for data minimisation, clear operating choices, and conservative public claims. This page combines our Privacy Noticeand a concise Terms & Acceptable Use summary.
Privacy Notice
1) Controller & Contact

2) What we collect
- Account data - email address and authentication identifiers used for sign-in, account security, and account management.
- Billing data - subscription, invoice, and payment-related records handled through our payments processor. We do not store full card numbers.
- Content you submit - audio, documents, and text needed to perform transcription and/or translation.
- Operational metadata - timestamps, job IDs, file sizes, language selections, usage counters, and error/status information used for service delivery, support, reliability, and billing integrity.
- Cookies and session data - limited to what is reasonably required for sign-in, session continuity, and checkout. We do not run advertising trackers.
3) Purposes & legal bases
- Provide the service (contract): process submitted content, operate accounts, deliver requested outputs, and enforce plan limits.
- Process payments (contract / legal obligation): handle subscriptions, invoices, account billing status, and related records.
- Security, abuse prevention, and service integrity (legitimate interests): protect the service, investigate incidents, and maintain operational reliability.
- Compliance (legal obligation): respond to lawful requests and comply with applicable legal requirements.
4) Processing modes, routing, and transfers
You can choose a hosted operating mode at purchase:
- EU-only (Strict) - for hosted transcription, OWL uses its EU-designated processing route, currently configured to Azure Speech in West Europe. For hosted translation, OWL uses its EU-designated translation operating path. This mode is intended for customers who want stricter regional handling within the hosted product.
- Global - OWL uses a separate global operating path for core processing, designed for customers who want broader operational flexibility within the hosted service.
These modes reflect current provider routing and product configuration. They should not be read as a claim that all supporting infrastructure is European-owned, privately network-isolated, or exempt from all international transfer considerations.
We work with a limited set of service providers for hosting, authentication, storage, billing, and language processing. Depending on the service component involved, personal data may be processed within the EEA or outside it under the provider arrangements applicable to that service. Where transfers outside the EEA/UK occur, we rely on recognised transfer mechanisms and appropriate safeguards as applicable.
5) Retention
- Account and billing records - retained while your account is active and thereafter as reasonably required for legal, tax, accounting, and recordkeeping obligations.
- Your files and outputs - retained only to the extent reasonably required to operate the service, deliver requested results, and support the selected product mode.
- Provider-side handling - where third-party processing is involved, provider-side handling may include the limited retention required to perform the requested task under the applicable service terms.
- Customer content and training - customer-submitted content is processed to perform the requested service and is not used by One World Lingoto train public models.
- Operational logs and metadata - retained only for the period reasonably required for support, security, billing integrity, and service reliability.
- Self-hosting (BYOK) - if you self-host, storage, retention, and operational controls are primarily under your control.
6) Security
- Encryption in transit.
- Encryption at rest for managed platform data stores where applicable.
- Least-privilege access patterns for operational systems.
- Access logging and operational visibility where reasonably required.
- Documented issue handling and remediation prioritisation.
7) No ads. No resale.
We do not run advertising, we do not sell personal data, and we do not build marketing profiles from your content.
8) Your rights
Under GDPR and UK GDPR, you may have rights to access, rectify, erase, restrict, or port your personal data, and to object to certain processing. You may also lodge a complaint with your local supervisory authority. To exercise your rights or request deletion of uploaded content, contact admin@oneworldlingo.com.
9) Changes
We may update this page as the service evolves. Material changes will be posted here and, where appropriate, notified in-app or by email.
Terms & Acceptable Use (Summary)
By creating an account or using the service, you agree to these summary terms. If you do not agree, please do not use the service.
A) Acceptable Use
- No illegal, harmful, abusive, or deceptive behaviour.
- No harassment, hate, exploitation, or infringement of others’ rights.
- Upload only content you are legally entitled to process.
- No attempts to disrupt, probe, or bypass security controls.
- No automated scraping of personal data without a lawful basis.
B) Service scope
- SaaS - your content is processed through trusted infrastructure and language technologies used to deliver the service. Routing and engine selection are managed by us in line with the selected operating mode and current product configuration.
- Self-hosting (BYOK) - where offered, you operate the stack with your own keys, infrastructure, and storage. In that environment, you are responsible for your own internal compliance, retention, and operational controls.
C) Disclaimers & liability
- We provide the service with reasonable care, but we cannot guarantee error-free output for all languages, accents, or formats.
- To the maximum extent permitted by law, we exclude indirect or consequential losses. Mandatory consumer protections remain unaffected.
D) Governing law
EU data-protection law applies where relevant. Where permitted, disputes are brought in the courts of our EU establishment, without limiting any mandatory local consumer rights.
